Absence and Additional Time Worked Form (Timesheet)

  • Use “Furlough” version of Absence and Additional time worked form.
  • Indicate dates and number of furlough hours taken on timesheet
  • Time Reporting Code for furlough in timekeeping system is FRL.
  • In Timekeeping system enter “1” on the date an employee observed furlough day, regardless of the number of hours. (Exception AWS part time employees – see below). Any entry other than “1” will return an error message.
  • If a part time employee on an alternate work schedule observes 2 furlough days on same date, record date and hours on timesheet and circle. Timekeeper enters as ‘two’ dates in timekeeping system. Timekeeping system will be used to track total number of total furlough days taken by an employee
  • Furlough hours observed by faculty members do not need to be entered into the timekeeping system.

Overtime / Shift

  • For overtime calculating purposes, the work week is Sunday 12:01 am – Saturday Midnight
  • During a furlough week for full time employees, hours worked over 32 and up to 40 are reported as OTST. Hours worked in excess of 40 hours reported as OTPR. This also applies to exempt employees. Note: Any leave credits used are included with hours work to determine total number of hours for the week.
  • No shift differential is reported or paid for furlough days

Employees on alternate work schedules

  • Employees are encouraged to revert back to a standard schedule on furlough weeks
  • If an employee works their alternate schedule on a furlough week, the department must ensure the correct number of furlough hours is observed. Number of furlough hours per day is determined by an employee’s FTE (time base). For example: A full time employee’s furlough day is = 8 hours. An employee on a 4/10 schedule observing a furlough on a day scheduled to work 10 hours must charge 2 hours of leave credits. Note: Sick leave can not be used. Report furlough days and leave credit used on same date in timekeeping system.

ADO (Additional Day Off)

  • Non exempt employees on alternate work schedules (includes Unit 9 exempt employees) not reverted to standard schedule during a holiday/furlough week will be entitled to earn ADO if the holiday falls on their regularly scheduled day off. Unit 4 employees earn ADO to a maximum of 8 hours. Units 2, 5, 7, and 9 earn ADO hours equal to the highest number of regular scheduled hours worked in any one day during the holiday week. For example: An employee with FTE = .50 work schedule Monday = Off Tuesday = 8 Wednesday = 4 Thursday = 8 Friday Off. Monday is a holiday and Wednesday is campus observed furlough day. Employee earns 8 hours ADO.

Excess / Minus

  • Continue to complete “AWS” row on the Absence and Additional Time Worked form
  • Excess / Minus is still tracked for furlough employees on alternate work schedules
  • Excess / Minus is not tracked for Exempt employees treated as non exempt on furlough weeks
