Maintaining Property Records

The University Asset Management database is the official property record for inventoried items and is maintained by the Property Management Office (PMO). The PMO retains property forms and reports per CO Executive Order 1031 and Records Retention & Disposition Schedules. 

For inventory items, campus department record keepers are responsible for maintaining the department equipment check-out log and the off-campus loan form.  These records are to be available upon request from the PMO and internal/external auditors.

Upon request from campus departments, the PMO will provide campus departments with a current inventory list from the Asset Management database.

The PMO forms are located on the Property webpage.  In lieu of the department equipment check-out log or the off-campus loan form, campus department equivalent documentation is permitted upon prior approval of the PMO.
