Data Security Services

In an effort to increase data security on campus, Network Services is providing Data Security Services to protect data on your computer from being accessed by unauthorized users. This service is another measure CSULB is taking to protect the privacy rights of our students, faculty and staff . Please refer to the CSULB Information Security Management and Compliance website for more details on privacy rights.

Pretty Good Privacy (PGP) disk encryption solutions software is available to campus desktops and laptops. The initial rollout will be to computers in the Division of Administration and Finance and will follow with other groups at a later date. This data security technology allows users to encrypt sensitive personal information or notice-triggering information that resides on their laptops or workstations.

The Office of Information Security Management and Compliance defines these terms as follows:

Notice-triggering Personal Information
Specific items of personal information identified in CA Civil Code Sections 1798.29 and 1798.3. This information includes an individual's name in combination with Social Security Number, driver's license/California identification card number, health insurance information, medical information, or financial account number such as credit card number, in combination with any required security code, access code, or password that would permit access to an individual's financial account.
Medical Information
Information regarding an individual's medical history, mental or physical condition, or medical treatment or diagnosis by a health care professional.
Protected Health Information
Individually identifiable information created, received, or maintained by health care providers or health plans sufficient to allow identification of the individual such as the individual's name, address, electronic mail address, telephone number, or social security number, or other information that, alone or in combination with other publicly available information, reveals the individual's identity.

The definition of Social Security Number includes "the last 4 digits of SSN with the date of birth".

The definition of Account Number includes any student indentification number.

If notice-triggering information stored on the compromised electronic equipment is encrypted, no University notification is required. This saves the university both time and money.

Who will use Data Security Services?

Data Security Services is currently available to all individuals within the Division of Administration and Finance, however, in some cases, managers have identified individuals that are required to implement this new service.

You should use Data Security Services

  • to protect data on your computer or laptop in the event that it is lost, stolen or surveyed
  • if you access other student, staff or faculty records using the internet (PeopleSoft/CMS)
  • to protect others from accessing data on your computer or laptop when it is not on

What is the procedure for getting Data Security Services?

Activating Data Security Services is a multi-step process.

  • Network Services will push out the software to all Division of Administration and Finance employees the week of December 5th, 2005.
  • Individuals within the Division of Administration and Finance that are required to activate the software will be notified by email the week of December 12th, 2005. All other employees within the division will be notified in January 2006.
