@csulb Voice Mail Instructions

Introduction

  • A voice mailbox number is normally the same as a user's 5-digit extension number.
  • Access your voice mailbox via
    • Telephone User Interface (TUI)
    • your computer, using the Web Phone Manager (WPM) application
  • Before you can use Web Phone Manager, you will need to set up the mailbox through the TUI
  • Retrieve messages often! Return calls at your earliest convenience.
  • There are three ways to make messages:
    • call someone, get diverted to voice mail, and leave a message
    • quick message
    • send a message from within your own mailbox

Making Calls

Leaving a Message
  1. Call the 5-digit extension, and wait for the telephone system to divert your call
  2. Press "8" to bypass greeting and get tone to leave message
  3. Record message and press # for more options or hang up

Quick Messaging

From an Extension with a Voice Mailbox
  1. Dial "51234"
  2. Press "*8" and wait for prompt
  3. Enter mailbox number of recipient and press “#”
  4. Record message and press # for more options or hang up
From an Extension without a Voice Mailbox
  1. Dial "51234", or from off-campus dial “985-1234”
  2. Press "8" and wait for prompt
  3. Enter mailbox number of recipient and press “#”
  4. Record message and press # for more options or hang up

Accessing Your Voice Mailbox

From Another Telephone with a Voice Mailbox
  1. On campus dial "51234"
  2. Press "*#" and your mailbox number
  3. Follow the prompts to enter your security code (Security code must be 5 - 10 digits)
  4. Follow voice prompts
  5. Press "*" to return to main menu
  6. Press "*" again to exit voice mail
From Another Telephone without Voice Mailbox
  1. On campus dial "51234", or from off-campus dial “985-1234”
  2. Press "#" and your mailbox number
  3. Follow the prompts to enter your security code (Security code must be 5 - 10 digits)
  4. Follow voice prompts
  5. Press "*" to return to main menu
  6. Press "*" again to exit voice mail
Analog Phone
  1. Dial "51234"
  2. Key in your security code to access your voice mailbox
  3. Follow voice prompts
  4. Press "*" to return to main menu
  5. Press "*" again to exit voice mail
Digital Phone
  1. Dial "51234" OR press voice mail button when lit or flashing
  2. Key in your security code to access your voice mailbox
  3. Follow voice prompts
  4. Press "*" to return to main menu
  5. Press "*" again to exit voice mail

From within Your Voice Mailbox

Playing Messages
  1. Press "1" to listen to messages in order
  2. Press "9" to save a message
  3. Press "7" to delete a message
  4. Press “*” to return to main menu
  5. Press "*" again to exit voice mail

Sending Messages
  1. Press "2" to send a message
  2. Record message
  3. Press "#" to stop recording
  4. Enter 5-digit extension(s) to address the message
  5. Press "#" to send the voice mail message
  6. Press "*" to return to main menu
  7. Press "*" again to exit voice mail

Mailbox Options

Recording Your Name
  1. From main menu, press "4" to access mailbox options
  2. Press “1” to access personal options
  3. Press "5" to select name recording
    • Example: " Jane Connor”
  4. Press “2” to start recording
  5. Record name at the tone
  6. Press “2” to stop recording
  7. Press “5” to accept name
  8. Press "**" to return to main menu
  9. Press “*” again to exit voice mail

More advanced Mailbox Options

Recording Your Personal Greeting
  1. Press "4" to access greetings
  2. Press "4" to record your standard greeting
  3. Example: "This is Jane. Please leave a message with your name and number, and I’ll return your call."
  4. Press "#" when finished recording
  5. Press "5" to accept and activate greeting
  6. Press "**" to return to main menu
  7. Press “*” again to exit voice mail
Changing Your Security Code
  1. Press "4" to access mailbox options
  2. Press "1" to access personal options
  3. Press "4" to select security code
  4. Enter new security code when prompted
  5. Press "#" to accept security code
  6. Press "**" to return to main menu
  7. Press “*” again to exit voice mail

Exiting Voice Mailbox

Exiting your voice mailbox is highly important. If you do not exit properly, messages you meant to delete or save may return as new messages, or you may be locked out of your mailbox until extreme measures can be taken to reset the entire system. Most of the time, nothing catastrophic will occur when you do not exit properly, but if it should occur, you could be locked out of your mailbox for an extended period of time.

  1. Press "*" to initiate exit from beyond the main menu (and return to the main menu)
  2. Press "*" again to end the session from the main menu
